1. Who this policy covers

This policy applies to everyone who signs up for, attends or co-hosts an event listed on alt-fuel.com/events.

  • "We" means ALT FUEL NUTRITION VENTURES PTE. LTD. (Singapore, UEN 202634127G) and, for events in Vietnam, CÔNG TY TNHH ALT FUEL NUTRITION VIETNAM (161 Ung Văn Khiêm, Thạnh Mỹ Tây, Ho Chi Minh City).
  • "Guest" means anyone who RSVPs, joins a waitlist, is added at the door or attends.
  • "Co-host" or "partner" means a business that runs an event with us through the partner hub. Their events say "hosted by [partner] with alt-fuel lab".
  • "Event" means any run, ride, training session, tasting, talk or social we list, whether we host it alone or with a partner.

By signing up for an event you agree to this policy. A co-host's own extra rules (for example a gym's house rules) also apply at their venue, and the event page will link to them. If they conflict with this policy, this policy wins for anything we control.

This policy sits alongside our privacy policy, which explains in full how we handle personal data.

2. RSVPs, tickets and capacity

Your RSVP holds one free place for you only, and your ticket is the QR code we email you.

  • One RSVP per person. Each email address can sign up once per event. Please use your own name and email so we can reach you if plans change.
  • Your ticket. We email a ticket with a QR code. Show it at the door, on your phone or printed. Each ticket checks in once.
  • Not transferable. Tickets are in your name and can't be passed on or resold. If you can't come, cancel or email us so someone on the waitlist gets your place. A friend who wants to come should RSVP themselves.
  • Capacity and waitlist. Places are limited for safety and comfort. When an event is full you can join the waitlist. If a place opens, the host may move you to "going" and we will email you a ticket. Being on the waitlist does not guarantee a place.
  • Walk-ins. Hosts may add walk-ins at the door if there is room. They give the same details as an online RSVP.
  • Arrive on time. For runs and rides the group leaves at the listed start time. If you're more than 15 minutes late, the host may give your place to someone waiting.
  • No-shows. If you often RSVP and don't come or cancel, the host may stop accepting your RSVPs for popular events.
  • Accurate details. We may cancel an RSVP that uses a fake name or someone else's email.

3. Changes, cancellations and refunds

We or a co-host may change or cancel an event, and if we do we will tell you by email as early as we can.

  • Changes. The time, meeting point, route or programme may change, for example because of weather, air quality, road closures or venue issues. The event page always shows the latest details.
  • Weather and safety calls. For outdoor events we may shorten, move or cancel on the day if there is lightning, heavy rain, flooding, extreme heat or unhealthy air. The host's call on the day is final.
  • Cancellation by us. If an event is cancelled, everyone who RSVP'd gets an email and their ticket stops working.
  • Cancellation by you. Please cancel as soon as you know you can't come, so we can offer your place to the waitlist.
  • Refunds. Our events are currently free, so there is nothing to refund. If we ever sell tickets, the event page will show the refund rules before you pay, and you will always get a full refund if we cancel. Nothing in this policy limits refund rights you have under consumer law in Vietnam or Singapore.
  • Costs you pay yourself. We are not responsible for travel, parking or other costs you pay to attend, unless the law says otherwise.

4. Conduct and safety

Everyone at our events should feel safe and welcome, and the host may remove anyone who makes that harder.

We expect you to

  • Treat other guests, hosts, staff and the public with respect.
  • Follow the host's instructions, route, pace groups and safety briefings.
  • Obey traffic rules, venue rules and local law. On roads, keep to the side and follow marshals.
  • Look after the places we use: take your rubbish with you and respect neighbours.

Not allowed

  • Harassment of any kind, including unwanted touching, comments, photos or messages, on the day or afterwards.
  • Discrimination based on race, ethnicity, nationality, religion, gender, sexual orientation, age, disability or body size.
  • Violence, threats, or carrying weapons.
  • Using illegal drugs, or being so drunk that you put yourself or others at risk.
  • Selling, recruiting or promoting your own business to guests without the host's OK.
  • Recording or livestreaming other guests without their permission.

If someone breaks these rules

The host may warn them, ask them to leave, or stop them from joining future events. In serious cases we may contact the police or venue security. We decide on the facts we have and don't have to give a reason before acting to keep people safe.

Reporting

If something happens, tell the host on the spot, or email info@alt-fuel.com any time afterwards. We will reply within 2 working days, keep your report as private as we can, and never share your name with the person you report without your permission.

In an emergency, call 115 (ambulance) or 113 (police).

5. Health and taking part

Many of our events are physical, so you take part at your own pace and are responsible for knowing your limits.

  • Check you're fit to take part. If you have a heart, breathing or other medical condition, are pregnant, injured or unsure, talk to a doctor before joining a run, ride or training session.
  • Tell the host. If you have a condition the host should know about in an emergency (for example asthma, diabetes, a severe allergy), please tell them before the start. You don't have to, and we won't record it.
  • Heat and hydration. Ho Chi Minh City is hot and humid. Drink water before and during the event, wear light clothing and sun protection, and stop if you feel dizzy, sick or confused.
  • Stop when you need to. You can slow down, walk or leave at any time. Tell the host or a sweeper if you leave a group run so nobody searches for you.
  • Your own kit. Bring a working bike, helmet and lights for rides. Look after your own belongings: we can't be responsible for lost items.
  • Food and drink samples. Products may contain allergens such as milk, soy, nuts or caffeine. Check the label or ask before you try anything.
  • Age. Our events are for adults aged 18 and over. Someone under 18 can join only if the event page says the event is open to them and a parent or guardian agrees and, for physical events, comes along.

What you acknowledge. Physical activity has risks, including falls, strains, heat illness and traffic. By joining, you accept the risks that normally come with the activity and that are not caused by anyone's fault. This does not take away your rights if you are hurt because we or a co-host were negligent: the law in Singapore does not allow us to exclude that liability, and we don't try to. Vietnamese law protects you in a similar way.

6. Photos, video and the event camera

We take photos and video at most events, and you can ask not to be in them or to have one taken down.

  • We'll tell you first. The event page, your ticket email and a sign at the start say that the event will be photographed or filmed.
  • How we use them. To share the event on our website and social accounts (Instagram and Threads, @altfuel.lab) and in our marketing. A co-host may use photos of their event the same way.
  • Opting out. Tell the host at check-in and we will do our best to keep you out of shots, for example with a coloured wristband or by having you stand at the edge of group photos.
  • Taking a photo down. Email info@alt-fuel.com with a link or screenshot. We will remove posts we control within 7 days and stop using that photo in new material. We can't recall things already printed or shared by others.
  • No payment. We don't pay guests for event photos. If we want to feature you as the main subject of an ad or a product page, we will ask you separately first.
  • Event photos online. Event photos are posted at alt-fuel.com/photos. You can save copies for your own social posts; please tag @altfuel.lab and the host.
  • The event camera. Photos you take with the alt-fuel.com/camera page stay on your phone until you choose to share them. We don't receive them unless you send them to us or tag us.
  • Photos you take. You're welcome to take photos, but please ask before taking close-ups of other guests, and respect anyone who says no.

7. Your personal data

We collect only what we need to run the event, and our privacy policy explains the rest.

  • What we collect when you RSVP: your name, email and, if you give it, your phone number. If you tick "keep me posted", we also record that you agreed to hear about future events. That box is never ticked for you.
  • At the event: whether and when you checked in, and any details a host adds for a walk-in.
  • Why: to hold your place, send your ticket and updates, check you in, contact you about changes or safety, and understand how many people come.
  • After the event. After an event, we may email everyone who RSVP'd as going one message with the link to the event's photos and a short request for feedback.
  • Sharing with co-hosts. For an event run with a partner, the partner sees your name, email, phone and check-in status for that event only, to run it. They may not use these details for anything else, such as their own marketing, without your separate consent.
  • Your choices. You can unsubscribe from updates at any time, and ask to see, correct or delete your data by emailing our Data Protection Officer at anna@alt-fuel.com.
  • Laws we follow. Vietnam's Law on Personal Data Protection No. 91/2025/QH15 and Decree No. 356/2025/ND-CP, and Singapore's Personal Data Protection Act 2012.

Full details, including how long we keep data and international transfers, are in our privacy policy.

8. Partner co-hosts

Partners who run events with us through the partner hub agree to these extra terms by ticking a box in the hub before their first event goes to review.

  • Our approval. Every partner event is reviewed by the alt-fuel lab team before it goes live. We may ask for changes, decline it, or take it down at any time, for example if details are wrong or it breaks this policy.
  • Accurate listings. The partner makes sure the title, time, place, capacity, price (if any) and description are true and kept up to date, and tells us and the guests about changes as soon as they know.
  • Permits, venue and insurance. The partner is responsible for the venue's permission and any permits, licences or insurance the event needs. If unsure, they ask us before listing.
  • Running it safely. The partner provides enough trained people for the size and type of event, gives a safety briefing for physical activities, and knows the nearest emergency services.
  • Applying this policy. The partner applies the conduct rules in section 4, tells us within 24 hours about any incident, injury or complaint, and works with us to resolve it.
  • Guest data. The partner uses guest details only to run that event, keeps them secure, doesn't copy them into other lists or send marketing without the guest's own consent, and deletes them when we or the guest ask, or within 90 days after the event.
  • Brand. Each side may use the other's name and logo only to promote the shared event, in the form we agree.
  • Ending. Either side can stop working together at any time. Events already approved will either go ahead as listed or be cancelled with notice to guests.

Where there is a separate written agreement with a partner, it wins over this section.

9. Liability, law and contact

We take reasonable care to run safe events, and we limit our responsibility only as far as the law allows.

  • What we are responsible for. We are responsible for harm caused by our own negligence or breach of this policy. We are not responsible for losses we could not reasonably foresee or control, such as severe weather, traffic, or the actions of other guests or the public.
  • Co-hosts. At a partner event, the partner is responsible for their venue, staff and activities. We remain responsible for our own part, such as the listing, tickets and data we handle.
  • What we never exclude. Nothing in this policy limits liability for death or personal injury caused by negligence, fraud, or any right you have under consumer protection law that can't be waived. This includes Vietnam's Law on Protection of Consumer Rights No. 19/2023/QH15 and Singapore's Unfair Contract Terms Act.
  • Governing law. Events in Vietnam are governed by Vietnamese law. Anything else under this policy is governed by Singapore law, where our company is registered. We will always try to settle a complaint by talking first.
  • Changes to this policy. We may update this policy and will post the new version with a new date. Changes don't affect an event you have already signed up for, unless needed for safety or the law.
  • Language. This policy is published in English and Vietnamese. For events in Vietnam, the Vietnamese version prevails if the two differ.
